Recruitment agencies and search firms

Most of our hiring is direct. For specialist, cleared and leadership roles we work with a small number of agencies and search firms, under signed terms and a brief for each role. This page explains how, and how to submit a candidate.

How we work with agencies

Briefed, contracted, accountable

We engage agencies where they add something our own sourcing cannot: deep networks in a specialism, candidates who hold a US security clearance, or a confidential leadership search.

Roles we brief

Agencies work on roles we have briefed them on, in writing, with the role, the level, the posted pay range and what the hiring team is looking for. Listings on our site are open to everyone; a listing is not a brief.

Signed terms first

Every agency we work with has a signed agreement with Moraph setting out fees, the period of ownership, guarantees and data protection. Its reference goes on every submission.

One channel

Candidates are submitted through our agency portal, not by email to hiring managers or recruiters. Every submission enters our hiring system with your agency named, so it is reviewed and tracked like any other application.

The rules

Clear rules, so nobody argues about a fee later

RuleWhat it means
No agreement, no feeWe pay fees only to agencies with a signed agreement, for candidates submitted through the portal for a role we briefed them on.
Unsolicited résumésRésumés sent without an agreement or a brief, or to anyone at Moraph outside the portal, create no fee or ownership. We don’t forward them to hiring teams; candidates are always welcome to apply directly.
First valid submissionOwnership goes to the first valid submission of a candidate for a specific role, for the period in your agreement. If the candidate is already in our process for that role, your submission is not credited. To protect candidates’ privacy we don’t say why.
Candidate consentSubmit a candidate only with their agreement to be represented by you for that specific role, after they have seen our candidate privacy notice.
Pay within the posted rangeEvery role has a posted pay range, and every offer is within it. Please share the range with candidates at the start; we don’t negotiate above it.
Early careersWe don’t accept agency submissions for internships or graduate programs.
Our people and our clients’Agencies we work with don’t approach Moraph employees they placed, or our clients’ staff they met through us, for other roles, on the terms in the agreement.

Submitting a candidate

From submission to decision

  1. Step 1

    Submit through the portal

Choose the open role, add your agreement reference, the candidate’s details and résumé, and why they fit. Confirm the candidate agreed to be represented by you for this role.

  2. Step 2

    The candidate hears from us

The candidate gets their own private application page, as every applicant does, and a message saying your agency submitted them. If they did not agree, they can tell us and we withdraw it.

  3. Step 3

    We confirm the submission

Our talent team checks the agreement, the brief and ownership, and tells you whether the submission is accepted.

  4. Step 4

    The same process as everyone

Accepted candidates go through the same structured process as direct applicants: a recruiter screen, interviews with the team including a practical exercise, and independent scorecards.

  5. Step 5

    Feedback to you

Your recruiter contact keeps you updated at each stage and gives you feedback to pass on. The candidate also sees every update on their own page.

  6. Step 6

    Offer and fee

Offers are made within the posted range and accepted on the candidate’s application page. Fees and guarantees follow your agreement.

Standards we expect

How we expect candidates to be treated

Honest about the role

Describe the role, the level, the pay range and the location as briefed. Don’t present a role as more senior, remote or flexible than it is.

Honest about the candidate

Submit résumés as the candidate wrote them, with their knowledge. Don’t alter dates, titles or qualifications, and tell us about any notice period or restriction you know of.

Fair and inclusive

We assess everyone against the same competencies. Don’t screen on age, gender, ethnicity, disability or anything else unrelated to the role, and bring us broad, diverse slates.

Data protection

Handle candidates’ information lawfully, keep it secure, share only what the role needs, and delete it when asked or when it is no longer needed.

Clearances handled properly

For roles that need a US security clearance, represent candidates’ clearance status accurately. We verify it before any offer.

Respect for our hiring teams

Contact our talent team, not hiring managers. It keeps the process fair for every candidate, however they came to us.

Becoming a supplier

Register your agency

We review our agency list as hiring needs change. If you specialize in roles like ours (engineering, data and AI, security and compliance, operations, client delivery or enterprise sales in regulated industries, or cleared and leadership roles), register your agency. We contact agencies when we have a role that matches.

Questions

Frequently asked questions

Can I submit a candidate for a role you haven’t briefed us on?

You can submit for any open experienced role if you have a signed agreement, but fees apply only to roles your agreement or a written brief covers. If you are not sure, ask your Moraph contact before submitting.

Can I call the hiring manager?

Please don’t. Your Moraph talent contact is your route for questions, updates and feedback.

Why won’t you tell me why a submission wasn’t accepted?

If a candidate is already in our process, telling you would reveal that they applied. We protect every candidate’s privacy the same way.

Do you work with executive search firms?

Yes, for leadership searches, usually on a retained basis under a separate agreement for that search.

What if a candidate I submitted applies directly as well?

The first valid submission for that role counts. If yours came first and was accepted, the candidate stays attributed to you for the period in your agreement.

How do candidates know who submitted them?

They receive a message on their private application page naming your agency. Transparency protects candidates and agencies alike.
